Updates stage there, the page file lives there, Outlook caches the mailbox and OneDrive syncs through it. As free space runs out the machine slows, security updates fail to install, mail stops downloading and backups fail quietly.
Keep at least 15–20% free. Below that, ordinary problems start to look like hardware faults, and once the disk is 100% full the computer stops working.

Windows needs free space on the system drive to keep protecting itself, not only to hold your files.
Security updates need somewhere to stage before they install. When there is no room, they fail, and the machine sits on known vulnerabilities until someone notices.
Backups behave the same way. They tend to fail quietly rather than loudly, so the first sign of trouble is often the day you need to restore something.

A note on your Outlook mailbox
Often the largest file on the PC, and the worst place to start deleting.
OST and PST are not the same file
One setting change in Outlook can beat a week of deleting emails.
The cache file (OST) is a copy of what already sits in Microsoft 365. It is best shrunk by reducing how much mail Outlook keeps offline, rather than by deleting mail.
A standalone PST works the other way around. It is often the only copy of that mail, Microsoft 365 does not back it up, and the right move is to import it into the mailbox or an online archive and retire the file.
What this means for your mailbox
Shrinking an OST changes only what your PC keeps a local copy of, so nothing leaves the mailbox and nothing is lost. Retiring a PST is a genuine data move and needs a verified backup first.
If you are not certain which of the two you are looking at, raise a ticket before touching it.
Look before you delete
Measure the drive first, then decide what goes.
Let a tool find the space for you
On almost every machine we look at, three or four folders account for most of it.
Guessing is what makes clean-ups take all afternoon. A tool such as TreeSize Free, WizTree or WinDirStat lists every folder by size, so the savings are shown to you rather than hunted for.
Sort by size, start at the top, and work down until the drive is comfortable again.
How to tackle each one

Before you start
Menu paths vary slightly between Windows 10, Windows 11 and Outlook versions. Work from the bottom of the list upwards, because that is where the space is.
Back up anything that is not plainly a cache and change one thing at a time. Items 9, 10 and 12 alter how the machine behaves rather than just deleting files, and if a step needs administrator rights or the drive is still full afterwards, raise a ticket with IT.

Recycle Bin
Right-click the Recycle Bin and choose Empty Recycle Bin. Every drive has its own, so check each one.

Downloads folder
File Explorer, Downloads, switch to Details view and sort by Size. Delete installers and duplicates. Nothing here is backed up by default.

Disk Cleanup
Start, type Disk Cleanup, select C:, then click Clean up system files. Tick Windows Update Cleanup, Delivery Optimization Files and Previous Windows installation(s). Microsoft: free up drive space in Windows

Storage Sense
Settings, System, Storage. Turn Storage Sense on so temporary files and the Recycle Bin are cleared automatically, then run Cleanup recommendations. Microsoft: manage drive space with Storage Sense

Unused software
Settings, Apps, Installed apps. Sort by size and remove trials, superseded versions and vendor extras nobody uses.

Temp folders
Windows key + R, type %temp%, Enter. Select all and delete, skipping anything in use. Repeat for C:\Windows\Temp.

Browser caches
Edge or Chrome: Settings, Privacy, Delete browsing data, tick Cached images and files only. Leave saved passwords and cookies alone. Repeat for each browser profile.

Teams and Office caches
Quit Teams, clear the contents of its cache folder under %appdata%, then reopen it. In Office: File, Options, Save, Delete cached files.

Hibernation file
Only if the device does not use hibernate. Command Prompt as administrator, run powercfg /hibernate off. Frees roughly the size of installed RAM, but also disables Fast Startup.

System Restore
Start, type "Create a restore point", select the system drive, Configure. Reduce Max Usage or delete old points. Keep at least one recent restore point.

Windows.old
Removed by item 3 as Previous Windows installation(s). Windows deletes it automatically after 10 days. Once gone, the upgrade cannot be rolled back.

Synced cloud drives
OneDrive: right-click the cloud icon, Settings, Sync and back up, Advanced settings, turn on Files On-Demand, then right-click large folders and choose Free up space. Google Drive: set folders to Stream rather than Mirror. Dropbox: set folders to online-only under Sync. Microsoft: OneDrive Files On-Demand

Outlook OST
File, Account Settings, Account Settings, double-click the account. Move the Mail to keep offline slider down to 3 or 12 months and restart Outlook. Nothing is removed from the mailbox itself. Never delete the .ost by hand.

Archive PST files
Search the PC for *.pst. Confirm a backup exists, then File, Open & Export, Import/Export to move the mail into the mailbox or online archive, and retire the local file.

Virtual machines
Look for .vhdx, .vmdk and .vdi files. Delete virtual machines no longer in use and move any that are retained to external or archive storage.

Device backups
Apple device backups sit under %appdata%\Apple Computer\MobileSync\Backup. Keep the most recent and remove the rest.

Media and installers
Sort by size in TreeSize. Move finished project files, camera originals and downloaded ISOs to SharePoint, the archive or external storage rather than deleting them.
A few things to leave alone
Some of the largest folders on a Windows PC are load-bearing. These are the ones to walk past.
Do not delete files from C:\Windows\System32.
Never delete an Outlook OST by hand.
Never empty a PST without a verified backup.
Avoid registry cleaners and PC booster tools.
If the drive refills within weeks, the answer is structural rather than a clean-up. Raise a ticket with IT support and we will look at it with you.
Final thoughts
Most full drives come down to a handful of large folders and one or two settings nobody has changed since the machine was set up. Working from the largest items down usually returns most of the space in well under an hour.
